Audit feature: pdf report formatting

Audit feature: pdf report formatting

We create each audit questionnaire bespoke for every client, and can work with you to create a pdf report which best reflects your aims and purposes.

Benefits

Report clarity
Show the information that you want to see, and hide anything you don't.

Formatting options

Our team are happy to make formatting recommendations based on your aims and purposes. If you would like to set up something specific, the following choices are available:

REPORT STAMP
This contains the basic details for the report and is shown at the top (left, centre or right) of the completed pdf report. Any of the following can be shown or hidden:
- Introduction ("Visit Feedback for:")
- Location
- Date
- Entrance time
- Exit time
- Period
- Server name
- Area
- Brand
- Total spend
- Branch code
- Questionnaire category

Example report stamp:

SUMMARY COMMENTS
This overview of the whole visit can be displayed at the top of the report, at the bottom, or hidden if it's not relevant.

VISIT SCORE DISPLAY
Normally this displays as a bar, coloured red, amber or green according to the score. Other options include those listed below. Ask us to show you what these would look like on your report. In exceptional cases, we can create a custom option.
- X out of Y
- Text
- Scale
- Five Score Text
- Visit Score / Branch Average / Company Average (see image)
- The Branch Average can be substituted for Area Average or Segment Average
- Averages are based on the last 3 complete periods
- These options can be displayed as "x out of y" instead of percentages
- Visit Score with label
- Departments (i.e. groups of sections)
- Would Recommend Y/N
- Category Scores
- Pass/Fail (see below)
- Combination of visit score, category scores, and recommend Y/N

Example score display:

PARAGRAPH BREAKS
These are normally hidden to limit the report length. But it can be useful to show them if you are expecting particularly long comments.

OPTIONAL PASS/FAIL INDICATOR
This can be text, an image, or both. It can be positioned to the left, centre, right, or under the report details stamp.

OPPORTUNITIES BOX
This is a box at the end of the report where you can hand-write opportunities or actions. It is normally hidden, as reports are rarely printed, but ask us if you would like it visible.

QUESTION HISTORY
By default, this will show the results by question for the last 3 audits. But this can be any number between zero and 5. Alternatively, it can be set to show year to date results. You can also use results from the last 3 complete periods.

Example question history:

SUMMARY HISTORY
You can choose whether to show or hide historical results by questionnaire section (last 4 audits) and whether to include category scores and/or department scores (a department is a group of sections).

Example summary history:

PHOTOS
These can display as a full image. But by default they will display as thumbnails. They can be viewed in a carousel in The Hub.

EMPHASIZED QUESTIONS
This can draw attention to questions that you wish to emphasize.
- It can include history for up to 10 audits, either under the question itself or under the graph.
- It can display as a question type or a category icon.
- It can be the same size as normal questions, or scaled up by 1/5, 2, 3 or 4 times.

HIGHLIGHTED QUESTIONS
An alternative to the above, these can be highlighted at the top of a report. The same scaling up options are available, and they can be shown with or without history.

HIGHLIGHTED SECTIONS
Similar purpose to above, but at section level:
- It can be the same size as normal questions, or scaled up by 1/5, 2, 3 or 4 times
- The overall section score can be displayed at the top of a highlighted section
- The text for the highlighted section can be replaced by an icon

VISIT DETAILS
These can be hidden, shown at the bottom of the report, or at the top (not usually recommended). You can include any of the following:
- Visit Start Time
- Visit End Time
- Number of diners
- Trade Level
- Inside seats in use
- Outside seats in use
- Weather
- Children eating
- Children not eating
- Drink
- Food
- Service Charge
- Travel Expenses
- Receipt/Table No

Example visit details:

ASSESSOR DETAILS
The assessor ID can be shown at the bottom, top, or hidden.

GRAPH OPTIONS
The trend graph for previous visits has the following options:
- Top, bottom or hidden
- Display previous period scores or visit scores
- Number of periods: 3, 6, 10, 12 or 13
- Averages: None, brand, company, or branch/segment/company
- Current period year (including either brand av, company av or no average)
- You can choose whether the branch shows as a bar and the average as a line, or the other way around

Example graph options:

RECEIPT
Option to show or hide.

CUSTOM MESSAGE
This will be the same on every report. It can be hidden, show at the top or show at the bottom.
